1.Who handles your information
MTTENTERPRISE INC. operates SheetMusicConverter and is responsible for the personal information described here. We are based in Ottawa, Ontario, Canada. This policy covers visitors, account holders, guest purchasers, and people who contact us about this service.
Our other businesses, including Bank Statement Conversion and Embroidery File Converter, have their own policies. Using SheetMusicConverter does not automatically create an account with those services or authorize unrelated marketing.
2.Information we collect
- Account information: your name, email address, password hash, verification status, and authentication details for security features you enable. We do not store your password in readable form.
- Files and conversion details: uploaded PDFs and images, uploaded audio recordings, file names, generated scores and audio, page counts, selected formats, processing settings, conversion status, error details, and related timestamps. Scores can contain personal information, such as names, lyrics, annotations, or image metadata.
- Purchases: order references, amounts, subscription status, page allowances and usage, payment status, and Stripe customer, payment, and subscription identifiers. Stripe collects the payment and billing details you enter at checkout. We do not receive or store your full card number or card security code.
- Browser and security information: session identifiers, IP addresses, request and browser information, and security or error logs used to operate and protect the service. Guest conversions are associated with a browser session so we can check access without requiring an account.
- Support: the contact information, messages, order references, and other details you choose to provide when asking for help.
3.How we use information
We use this information to process your scores, show previews, provide downloads, authenticate users, manage payments and monthly page allowances, answer support requests, and communicate about your account or purchases. We also use necessary operational information to diagnose failures, prevent fraud and abuse, enforce usage limits, and meet legal and accounting obligations.
We do not sell your personal information or uploaded music. We do not use your scores for advertising, publish them to other users, or use them to train recognition or generative AI models. Operational diagnostics do not authorize us to reuse your music as training material.
Where a legal basis is required, we rely on performance of our contract for requested conversions and purchases; legitimate interests for proportionate security, fraud prevention, and service maintenance; legal obligations for required records and disclosures; and consent where required. You may withdraw consent for optional processing without affecting the lawfulness of earlier processing. Information necessary to provide a requested service is not optional while that service is being provided.
4.Where your scores are processed
When you start a conversion, your file is uploaded to our processing infrastructure. Recognition, score rendering, and audio generation run on our servers; conversion does not take place entirely on your device. The standard conversion pipeline does not send your scores to OpenAI, OpenRouter, or other external generative AI services.
Files are held in private application storage and delivered through access checks tied to your session or account. Authorized personnel or service providers may access information where necessary for a support request, security investigation, or legal obligation. Only upload material you have permission to process, and remove unrelated personal information where practical.
6.Service providers & disclosures
We share information only as needed to provide the service and for the purposes explained in this policy:
- Stripe: payment processing, subscription management, refunds, and disputes. We send order references, prices, page counts or plan details, and account billing identifiers. We do not send your uploaded score or its notation to Stripe. See Stripe’s Privacy Policy for its handling of payment information.
- Operational providers: hosting, storage, email, and technical service providers involved in delivering and protecting the service, limited to the information needed for their work.
- Legal and business needs: advisers under confidentiality obligations; authorities where disclosure is legally required; or parties involved in addressing fraud, protecting rights and safety, or a business transfer with appropriate privacy protections.
We are based in Canada, but providers may process information in other countries, including the United States. Their laws may differ from those where you live. We remain responsible for information under our control and use contractual and other safeguards for transfers where required by applicable law.
7.Retention & deletion
- Uploaded and converted files: normally available for 24 hours after upload. Starting checkout can extend availability; unlocking a score resets download access to 24 hours from confirmation. Keep a copy before the window ends.
- Cleanup: expired conversion files and their conversion records are removed by a scheduled process. Deletion is not instantaneous at the expiry time. Active processing or an unresolved payment can temporarily delay cleanup so the job or payment can be reconciled.
- Accounts: kept while your account is active. You can update your details or delete your account in settings. The self-service deletion flow requires subscriptions to have ended and pending checkouts to be resolved first. Contact us for a privacy request at any time, including while billing is unresolved.
- Billing, support, and security records: retained separately from score files for as long as reasonably needed for their purpose, such as accounting, legal duties, dispute resolution, and fraud prevention. Deleting a score or an account does not necessarily erase records we must or are permitted to retain.
Account deletion does not replace the normal file-expiry process. You can request earlier removal of your uploaded files by contacting us; we will verify the request and explain any required retention. Where backups exist, removal from backups follows their retention cycle, with remaining copies restricted from ordinary use.
8.Keeping information secure
Our safeguards include private file storage, session and account access checks, password hashing, and request limits. We limit access to information according to the task being performed. No online service can guarantee absolute security.
Protect your account, use a private device for guest purchases where possible, and avoid sharing active sessions or order access. If you suspect a security issue, contact us. We assess incidents and provide notices to affected people or regulators where required by law.
9.Your choices & privacy rights
You can request information about our handling of your data, access to or correction of your personal information, and deletion where applicable. Depending on the law that applies to you, you may also have rights to obtain a portable copy, object to or restrict processing, or withdraw consent. We do not discriminate against you for exercising applicable privacy rights.
Contact our Privacy Officer using the details below. Tell us you are asking about SheetMusicConverter and provide enough information to locate the relevant account or order. We may need to verify your identity or your authority to act for another person. We will respond within applicable legal time limits and explain any lawful limitation or retention requirement.
You may raise concerns with the Office of the Privacy Commissioner of Canada or another competent privacy regulator. Where EEA, UK, or US state privacy laws apply, this policy does not limit the additional rights or complaint options they provide.
10.Children’s information
SheetMusicConverter is not directed to children under 13, and we do not knowingly collect their personal information. Minors must have authorization from a parent or legal guardian. Parents, guardians, and educators should avoid uploading unnecessary personal details about children. Contact us if a child has provided information without appropriate authorization so we can investigate and take appropriate action.
11.Policy updates
We will update the effective date when this policy changes. For material changes, we will provide additional notice appropriate to the change and obtain consent where legally required. A new policy does not authorize an incompatible new use of previously collected information without the required legal basis or consent.
